Refund & Cancellation Policy
Understand our cancellation terms and refund process
We understand that travel plans can change. Our cancellation policy is designed to be fair to both our clients and our business operations.
Cancellation by Client
60+ Days Before Departure
You will receive a full refund minus a 10% administration fee. This fee covers non-refundable booking costs and administrative expenses.
Example: For a $2,000 safari, you'll receive $1,800 back
30-59 Days Before Departure
You will receive a 50% refund of the total safari cost. At this stage, we've typically made non-refundable commitments to accommodation and service providers.
Example: For a $2,000 safari, you'll receive $1,000 back
Less Than 30 Days Before Departure
No cash refund will be provided. However, we will issue a credit note valid for 12 months from the original departure date, which can be used toward any future safari booking.
The credit note is transferable to family members
No-Show
If you fail to arrive for your safari without prior notification, no refund or credit will be issued. The full payment is forfeited.
Cancellation by Blue Cactus Safaris
In the rare event that we need to cancel your safari due to circumstances within our control, you will receive:
- A full refund of all payments made, OR
- Alternative dates with no additional charges, OR
- A comparable safari of equal or greater value
Force Majeure Events
In cases of force majeure (acts of God, war, civil unrest, natural disasters, pandemics, government restrictions, etc.), neither party will be held liable for cancellation. In such cases:
- We will work with you to reschedule at no additional cost
- If rescheduling is not possible, we'll provide a full credit note valid for 24 months
- We will assist with insurance claims where applicable
This is why comprehensive travel insurance is mandatory for all bookings.
Safari Modifications
Minor Changes (dates, accommodation level)
Changes made 30+ days before departure: $50 modification fee plus any additional costs from suppliers. Changes made within 30 days: Subject to availability and may incur cancellation fees as per the policy above.
Major Changes (destination, duration)
Treated as a new booking. Original cancellation terms apply, and a new booking will be made at current rates.
Refund Process
- 1 Submit cancellation request in writing via email to bookings@bluecactussafaris.com
- 2 We will acknowledge receipt within 24 hours and confirm refund amount
- 3 Refunds are processed within 14 business days
- 4 Refunds are issued to the original payment method
Note: Bank processing times may vary. International transfers may take 7-10 business days.
Special Circumstances
Medical Emergencies
If you cancel due to serious illness or injury (supported by medical documentation), we may waive cancellation fees on a case-by-case basis. Travel insurance claims should be filed concurrently.
Death in the Family
In the event of death of an immediate family member, we will work compassionately with you to reschedule or provide a full credit note, regardless of cancellation timing.
